How to track M-Pesa payments in your business
Published 2026-11-01
A payment message is useful evidence, but your sales record should show which customer or sale it paid for and whether the money reached the business account.
Record enough detail to match the payment
Keep the transaction code, amount, date and time, payment channel, sale or invoice reference, and the staff member who recorded it. Do not rely on a screenshot or a message alone as the accounting record.
At checkout, compare the received amount with the amount due. If a customer pays part now and part later, record each payment against the same balance rather than marking the whole invoice paid.
Verify before marking a sale paid
Use the business's official till or paybill records to confirm a payment when possible. Treat copied messages and customer-provided codes as claims to verify, and do not accept one transaction code against two sales.
If a payment cannot be matched immediately, keep it in an unmatched list for review. Avoid guessing the customer or sale; a clear reconciliation process is safer than a fast but incorrect allocation.
Reconcile regularly
Compare recorded M-Pesa receipts with the provider statement for the same dates. Check missing references, duplicate entries, fees, reversals and deposits that arrived after a sale was recorded.
Separate customer payments from payments to suppliers and from business expenses. Keep the supporting statement and document how each difference was resolved.
Checklist
- Capture the code, amount and sale reference
- Verify against the business till or paybill where available
- Prevent duplicate use of a transaction code
- Review unmatched and reversed payments
